This Privacy Policy explains how What’s Up Washes LLC (“What’s Up Washes,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you visit our websites at whatsupwashes.com and coatings.whatsupwashes.com (collectively, the “Sites”), book or inquire about our mobile detailing and ceramic coating services, or otherwise interact with us (collectively, the “Services”).
We are a Richmond, Virginia-based mobile detailing and Gtechniq Certified ceramic coating provider. This policy describes our practices for both prospects and customers, and applies in addition to any specific notices provided at the point of data collection.
By using the Services, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Services.
1. Information We Collect
1.1 Information you provide directly
We collect information you give us when you book a service, request a quote, sign up for a membership plan, or otherwise contact us. This may include:
- Identity and contact details — first and last name, email address, and mobile phone number.
- Service address — the street address, city, state, and ZIP code where you would like the mobile service performed.
- Vehicle information — make, model, and any notes relevant to the appointment (e.g., color, prior coating, pet hair, mud).
- Booking selections — chosen service package, vehicle size category, add-ons, appointment date and time, and any free-text notes you provide.
- Membership details (if you subscribe to The Plan) — preferred cadence (monthly or biweekly), start date, and an internal member ID we generate for you.
- Communications — the content of emails, text messages, voicemails, and form submissions you send us.
1.2 Payment information
We do not collect or store credit card numbers, bank account numbers, or other payment instrument details on our Sites. Payment is processed by our customer-management and payment provider, GoHighLevel, and their downstream payment processors (e.g., Stripe). Those providers handle payment information under their own privacy and security practices. We receive only payment status (e.g., paid, refunded) and transaction totals for our records.
1.3 Information collected automatically
When you visit the Sites, we and certain third-party services automatically collect information about your device and how you use the Sites, including:
- Device and browser data — IP address, user agent, browser type and version, operating system, device type, screen size, language, and approximate region.
- Usage data — pages viewed, referring URL, time spent, interactions (clicks, taps), and timestamps.
- Performance data — page load times, Core Web Vitals, and other performance metrics, collected anonymously by Vercel Analytics and Vercel Speed Insights.
- Advertising identifiers — the Google Click ID (gclid) parameter that may be appended to URLs when you click one of our Google Ads. We capture this in a first-party cookie and associate it with any subsequent booking or inquiry to measure advertising effectiveness.
1.4 Information from third parties
We may receive limited information about you from Google Ads (conversion measurement and enhanced conversions), Google Search Console (aggregate search performance), and our customer management platform GoHighLevel (records of prior interactions).
2. How We Use Information
We use the information we collect to:
- Provide, schedule, and fulfill the mobile detailing and ceramic coating services you book or request;
- Communicate with you about appointments, confirmations, reminders, arrival windows, follow-up care, and post-service surveys;
- Process payments and maintain records of transactions and account history;
- Operate and improve the Sites, including troubleshooting, security, and performance optimization;
- Measure the effectiveness of our advertising and marketing, including matching booked services back to the ad campaigns and keywords that produced them;
- Send you marketing communications about promotions, seasonal offers, membership perks, and service updates (you can opt out at any time — see Section 6);
- Comply with our legal obligations, resolve disputes, prevent fraud, and enforce our agreements.
3. Cookies and Tracking Technologies
We use cookies and similar technologies to operate the Sites, remember preferences, measure performance, and support advertising. The categories we use are:
- Strictly necessary — required for the Sites to function (e.g., remembering your booking-flow progress between steps).
- Analytics — Vercel Analytics and Vercel Speed Insights collect anonymized usage and performance data. These providers do not set persistent cross-site tracking cookies.
- Advertising — Google Ads tracking via the gtag.js tag and Google Ads conversion cookies. These help us measure the return on our advertising and serve more relevant ads. The gclid cookie we set is a first-party cookie that expires after 90 days or after a successful booking, whichever comes first.
Most browsers let you refuse or delete cookies through their settings. Doing so may degrade some features (for example, conversion measurement and certain booking-flow conveniences). The Sites do not currently respond to Do Not Track signals because no industry standard for honoring them has been finalized.
4. How We Share Information
We do not sell your personal information. We share information only as described in this policy:
- Service providers — vendors that perform services on our behalf, under contractual confidentiality and security obligations. Our principal providers are:
- GoHighLevel — customer relationship management, booking calendar, automated messaging, and payment processing.
- Vercel — website hosting, performance analytics, and serverless function execution.
- Google — Google Ads conversion measurement (including server-side Enhanced Conversions, which uploads cryptographically hashed forms of your email and phone number so Google can match conversions back to ad clicks without exposing the underlying values), Google Search Console, and Google Maps embeds.
- Affiliates and successors — in connection with a merger, acquisition, sale of assets, or other corporate transaction, your information may be transferred as part of that transaction, subject to standard confidentiality protections.
- Legal and safety — when we believe in good faith that disclosure is required by law, subpoena, or court order, or necessary to enforce our agreements, protect our rights and property, or protect the safety of any person.
- With your consent — in any other case where you have directed or consented to the disclosure.
5. Data Retention
We retain personal information for as long as is necessary to fulfill the purposes for which it was collected, comply with our legal obligations, resolve disputes, and enforce our agreements. Specifically:
- Booking and customer records are retained for the life of the customer relationship and for seven years thereafter for tax, accounting, and warranty-claim purposes.
- Marketing-list contact information is retained until you opt out, after which we keep a minimal suppression record indefinitely to honor your opt-out.
- Anonymized analytics data is retained according to our analytics providers’ standard retention windows (typically 14 months to 26 months).
6. Your Rights and Choices
Depending on where you live, you may have certain rights regarding your personal information. We honor the following rights for all customers regardless of residency, except where a request would conflict with a legal obligation we are subject to:
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to correct inaccurate or incomplete information.
- Deletion — ask us to delete information we hold about you, subject to retention obligations described above.
- Opt out of marketing — unsubscribe from marketing emails at any time using the link in the footer of any marketing email, or by replying STOP to any marketing text message. This does not affect transactional messages (appointment confirmations, reminders, and similar service communications).
- Opt out of advertising cookies — disable cookies in your browser, or use Google’s Ads Settings to opt out of personalized advertising.
To exercise any of these rights, please email admin@whatsupwashes.com from the email address on your account, or write to us at the address in Section 11. We will respond within 45 days, or notify you if we need an extension permitted by applicable law.
Virginia residents: Under the Virginia Consumer Data Protection Act, you also have the right to appeal our decision on a rights request. If your request is denied, we will explain why and tell you how to appeal. If your appeal is also denied, you may contact the Virginia Attorney General at oag.state.va.us.
7. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include encrypted transport (HTTPS) for all Site traffic, hashed transmission of email and phone values to advertising partners, and access controls on the customer-management systems where booking records are stored. No method of transmission or storage is one hundred percent secure, and we cannot guarantee absolute security.
8. Children’s Privacy
The Services are intended for adults. We do not knowingly collect personal information from children under thirteen. If you believe a child has provided personal information to us, please contact us and we will delete the information.
9. International Users
Our Services are operated from and directed at residents of the United States, primarily the Greater Richmond, Virginia metropolitan area. If you access the Services from outside the United States, you do so at your own initiative and acknowledge that your information will be transferred to, stored, and processed in the United States.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Effective” date above and, for material changes, provide additional notice (such as a banner on the Sites or an email to customers). Your continued use of the Services after the new policy becomes effective constitutes your acceptance of the revised policy.
